If your email ends in gmail.com or outlook.com or hotmail.com AND you use SMTP to send email in the following Draycir products, this information is important:

• Spindle Document Distribution (including Spindle Document Management)
• Spindle Report Scheduler
• Spindle Self Serve

Note that if you are using the dedicated Gmail connector, Exchange connector or either of the two Outlook connectors in Spindle Document Distribution, this article does not apply.

Problem

Microsoft are deprecating Basic Authentication on Outlook.com email, and Google are deprecating Basic Authentication on Gmail.com email.

This means that if you use SMTP to send email from your Draycir software, you will need to update your configuration.

Spindle Document Distribution & Spindle Document Management 

Gmail users

For security reasons Draycir recommend using the dedicated Gmail device within Spindle Document Distribution Tools

If Gmail over SMTP is required, then you will need create an app password to authenticate your email over SMTP.

You can find instructions on how to create an app password in Gmail here https://support.google.com/accounts/answer/185833?hl=en

 Once the app password is created make note of it and replace your existing SMTP password in your application with the new app password. To do this open Spindle Document Distribution Tools, navigate to Device Manager then Email Devices. Select “SMTP” click the Configure button, from there you can update the Password field with the App Password you have created. Finally click the OK button at the bottom of the window to save the details.

Outlook.com users

For sites with Spindle Document Distribution or Spindle Document Management that use Outlook via SMTP or Hotmail via SMTP then you will need create an app password to authenticate your email over SMTP.

Spindle Report Scheduler and Spindle Self Serve 

For sites with Spindle Self-Serve and/or Spindle Report Scheduler with either Outlook via SMTP or Hotmail via SMTP or Gmail via SMTP you will need to create an app password as shown in the links above and update the existing SMTP password in your Draycir software with the app password.
