Introduction

Spindle Document Distribution allows you to send emails from an account other than your own by overriding the sender of the email.

This allows emails to be sent from a group account (eg accounts@example.com) rather than individual named email accounts.

Applies to

  • Spindle Professional 2012-v6
  • Spindle Document Distribution v7 and later 

Requirements 

There are three pre-requisites

  1. The Email Device must support overriding the email sender
  2. The Document Operation must be configured to override the sender 
  3. The user must have permission to Send As... or Send On Behalf Of... the other email account

Process

Ensure you are using a supported email device

The following devices support overriding the sender:

  • MS Exchange/Office 365
  • MS Outlook 2000-2016 (for 32-bit Outlook)
  • David 6/XL


The following do not support the override:

  • Legacy MS Outlook 2000-2016 (for 64-bit Outlook)
  • SMTP
  • Gmail
  • MAPI
  • Lotus Notes

If you are using the 32-bit Outlook connector (Outlook 2000-2016), open User Settings>Email Settings, and click Setup:


Check the option to "Enable override default sender details"


Configure Spindle Document Distribution.

In the Document Operation, expand Email Settings and select the Details tab:

Check the option to "Override default sender details" and enter the name and email address you want the email to be sent from.

Tip: You can also use Spindle Document Distribution ## commands to populate this field if certain documents need to go from a different account within the same print run:


Ensure that the user has permissions to send as the overridden user

Contact your system administrator or email administrator to ensure that the user has the correct permissions to send as the overridden user.

Additional Notes

  • If the emails are set to be sent to drafts, they will appear in the user's own drafts folder. However, the mails will be sent with the overridden address as the From address.
  • Emails will appear in the user's Sent Items folder.
